Hodson Bay Group is seeking an experienced and highly organised Senior Office Administrator to support the smooth and efficient administration of our Group operations, including our exciting new development, Yew Point at Hodson Bay.

Job Summary
The Senior Office Administrator will provide comprehensive administrative support across Hodson Bay Group including the new development at Yew Point, ensuring office, accounts, documentation, and coordination processes are managed accurately and efficiently.
Additionally, the successful candidate will provide administrative support to projects procurement and maintenance teams for record keeping including tracking actions, preparing documentation, coordinating updates, and following up on deadlines
This role requires a confident and organised individual with strong communication, multitasking, and follow-through skills. The successful candidate will help drive operational efficiency by ensuring all administrative processes are completed to a high standard and within agreed timelines.
Key Responsibilities
- Provide administrative support for projects and maintenance records including tracking actions, preparing documentation, coordinating updates, and following up on deadlines
- Support management with ad hoc administrative duties and projects
- Carry out administrative duties as required to support the needs of the business and support of management administrative duties.
- Coordinate the administrative process for deliveries of fixtures, fittings, equipment and stock across our new development, Yew Point at Hodson Bay.
- Assist with stocktaking processes, ensuring accurate records are maintained and any variances are followed up appropriately.
- Provide general accounts and administrative support for the new development, Yew Point at Hodson Bay.
- Manage and coordinate contract administration processes for Hodson Bay Group, ensuring documentation is accurate, organised, and up to date.
- Maintain financial and administrative records in line with company procedures
- Coordinate with internal departments to support effective communication and follow-up
- Prepare reports, spreadsheets, and documentation as required by management
- Ensure compliance with company policies and procedures
Requirements
- Previous experience at a senior level in an administrative role
- Strong organisational skills with excellent attention to detail
- Ability to manage multiple tasks and meet deadlines
- Strong written and verbal communication skills
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to work independently and as part of a team
Preferred Qualifications
- A relevant qualification in Business Administration, Office Management, Finance, Accounting, or a related discipline
- Experience using accounting, payroll, HR, or management systems
- Strong IT skills, including working with spreadsheets, reports, and basic financial data
- Experience supporting projects, preparing reports, and coordinating administrative processes across departments

Working Conditions
- Office-based role
- Standard working hours are 9.00am to 5.30pm, Monday to Friday, with flexibility required during busy periods
